House of Saiso Pty Ltd (ABN 66 691 484 572) (we, us, our) operates House of Saiso, a creative space for hire in Thirroul, New South Wales, and the website houseofsaiso.com (the Site). We respect your privacy and are committed to managing your personal information openly and in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what personal information we collect, how we use and protect it, and how you can access, correct or complain about it.
By using the Site or providing us with your personal information, you agree to the collection and use of your information in accordance with this policy.
1. What personal information we collect
We collect personal information that is reasonably necessary for our functions and activities. This may include:
your name and contact details, such as your email address, phone number and suburb or postal details;
information you provide when you make an enquiry, sign up to our mailing list, or submit an expression of interest for an exhibition, workshop or space hire;
booking and event details, including the nature of your hire or event;
your interests, preferences and marketing preferences;
payment-related information — note that card payments are processed by our third-party payment providers and we do not store full card numbers;
records of our communications and your dealings with us; and
technical information when you visit the Site, such as your IP address, browser type, pages visited and time spent (see Cookies and analytics below).
We generally do not collect sensitive information. If we ever need to, we will ask for your consent first. If you give us personal information about another person, please ensure you are authorised to do so and have made them aware of this policy.
2. How we collect personal information
We collect personal information directly from you wherever possible — for example when you complete a form on the Site, email or message us, sign up to our mailing list, submit an expression of interest, make a booking, attend an event, or speak with us in the space. We may also collect information automatically through cookies and analytics tools when you use the Site, and occasionally from third parties such as our service providers or social media platforms where you interact with us.
3. Why we collect, hold, use and disclose your information
We collect, hold, use and disclose personal information to:
respond to your enquiries and expressions of interest;
manage bookings, hires, exhibitions, workshops and events;
operate, maintain and improve the Site and our space;
process payments;
send you marketing communications you have asked to receive (see Marketing communications below);
maintain our relationship with you and keep our records accurate; and
comply with our legal obligations.
We will only use or disclose your personal information for the purpose for which it was collected, for a related purpose you would reasonably expect, where you have consented, or as otherwise permitted or required by law.
4. Marketing communications
With your consent, we send marketing emails about what is on at House of Saiso — exhibitions, workshops, openings, hire opportunities and news. We use a single opt-in process: you join our mailing list when you tick the marketing opt-in box on one of our forms.
Every marketing email identifies us as the sender and includes an unsubscribe link. You can opt out at any time by clicking unsubscribe or emailing hello@houseofsaiso.com, and we will action your request promptly. We may still send you service-related messages, such as a reply to an enquiry or your booking details, as these are not marketing. We handle electronic marketing in accordance with the Spam Act 2003 (Cth).
5. Who we disclose your information to
We may disclose your personal information to third parties who help us run our business and who are required to protect your information, including:
our email marketing platform (Klaviyo);
payment providers;
website, booking and IT service providers; and
analytics and advertising partners, such as Google and Meta (Facebook and Instagram).
We may also disclose personal information where required or authorised by law. We do not sell your personal information.
6. Overseas disclosure
Some of our service providers store or process data outside Australia. For example, our email marketing platform (Klaviyo) and our analytics and advertising partners (such as Google and Meta) are based in, or store data in, the United States, and other providers may operate in other countries. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.
7. Cookies and analytics
Like most websites, the Site uses cookies — small data files stored on your device — to help it work, remember your preferences, and understand how visitors use it. We use analytics tools such as Google Analytics, and we and selected partners (such as Google and Meta) may use cookies to measure and improve our marketing. You can control or disable cookies through your browser settings, although some parts of the Site may not work as well as a result.
8. How we hold and protect your information
We hold personal information in electronic systems operated by us and our service providers. We take reasonable steps to protect it from misuse, interference and loss, and from unauthorised access, modification or disclosure. No method of transmission or storage is completely secure, but we work to keep your information safe and to limit access to those who need it.
9. Data breaches
If a data breach occurs that is likely to result in serious harm to an individual whose personal information is involved, we will respond in line with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth), including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.
10. Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete, by emailing hello@houseofsaiso.com. We will respond within a reasonable period. We may need to verify your identity first, and there are limited circumstances where we may decline a request, in which case we will explain why.
11. How long we keep your information
We keep personal information only for as long as we need it for the purposes described in this policy, or as required by law, after which we take reasonable steps to delete or de-identify it.
12. Children
Where children take part in our workshops, classes or events, we collect only the personal information reasonably necessary and, where appropriate, collect it from a parent or guardian. If you believe we hold a child's information without appropriate consent, please contact us and we will address it.
13. Making a complaint
If you have a concern about how we have handled your personal information, please contact us first at hello@houseofsaiso.com so we can try to resolve it. We will respond within a reasonable period.
